13 Steps From Quote to Door — how your car actually crosses the sea

Every car that ships from Port Klang to East Malaysia goes through the same 13 checkpoints. Here's what happens at each — with the timings, the documents, and the touchpoints you'll see.

Shipping a car from Peninsular Malaysia to Sarawak or Sabah looks complicated from the outside — but at Rentaka, it's the same 13-step process for every shipment. Once you've seen it laid out, the whole thing makes sense, and you know exactly where your car is at any moment.

This guide walks through each step in order: what happens, who handles it, what documents move, and roughly how long it takes. Touchpoints where you interact with us are clearly marked.

Step 1: Request a Quote

You initiate · 5-10 minutes

You submit a quote request via our online form, WhatsApp, or phone call. We need: vehicle type (sedan/SUV/pickup/motorcycle), make & model, year, origin location, destination, and rough timeline.

We come back within 24 hours (often same-day during business hours) with a written quote, the next two available sailing dates, and a quick clarification call if anything's ambiguous about your specific vehicle.

Step 2: Confirm Booking & Pay Deposit

When you accept the quote, we send the booking form via email or WhatsApp. You sign electronically, and we lock the vessel slot.

Deposit: 50% of the total quote, paid via bank transfer or ToyyibPay. The remaining 50% is settled before vessel discharge at the destination. Once deposit is received, your booking is firm.

Step 3: Vehicle Preparation

You prepare · 1-2 days before pickup

Before pickup day, you handle these:

  • Reduce fuel to 1/4 tank or less (safety requirement)
  • 🚿 Wash the vehicle so the inspection is accurate
  • 🧳 Remove all personal items from interior and boot
  • 🔋 Ensure battery is healthy (we can disconnect on request)
  • 📸 Take your own dated photos of every angle

Step 4: Pickup at Origin (D2D only)

Our driver visits · 30-45 minutes

For door-to-door customers: our driver arrives at your address with a flatbed tow truck on the scheduled day. They call ~30 min before arrival.

At your address: walk-around inspection, ~12 photos taken, condition form filled and signed by both parties. You hand over one key. The car is loaded onto the flatbed and driven to the Klang yard.

If you chose P2P — you drive the car to our yard yourself; this step happens at the yard instead.

Step 5: Arrival at Klang Yard

Rentaka handles · same day as pickup

The vehicle arrives at our yard near Westport, Pulau Indah. The flatbed parks in the receiving bay, where the next inspection takes place. The yard team logs the arrival, photographs the vehicle as it came off the carrier, and parks it in a secure lot pending vessel loading.

The yard is fenced, monitored, and staffed 24/7. Your car sits here for 1-3 days depending on when the next sailing departs.

Step 6: Pre-Shipping Inspection & Photos

Rentaka handles · 30-45 min within 24 hours of arrival

The most important documentation step. Our yard inspector does a comprehensive walk-around:

  • 📐 ~16-20 photos: 4 corners, every panel, all windows, undercarriage, engine bay, interior, dashboard, odometer reading, VIN plate, engine number
  • 📋 Detailed condition form: every existing scratch, dent, paint chip is noted with location and size
  • 📧 The complete report (photos + form) is emailed to you within 24 hours

This is the document that drives any future insurance claim. We over-document on purpose.

Step 7: Documentation & Bill of Lading

While your vehicle waits at the yard, the paperwork moves:

  • 📄 Bill of Lading drafted with vehicle details, ownership, route, and consignee
  • 🛂 Customs declaration prepared (export side, even for domestic shipments)
  • 🛡️ Marine cargo insurance certificate issued (ICC(A) all-risk)
  • 📞 Destination-side broker briefed on inbound shipment and ETA

You receive copies of all documents via email before the vessel sails.

Step 8: Vessel Booking & Slot Confirmation

The vessel slot was actually reserved when you paid the deposit (Step 2), but it's at this stage that the carrier (Northport, MISC, or similar) confirms the exact sailing date and time. You get a notification with the vessel name, sailing time, and estimated arrival.

RORO sailings are mostly weekly to Kuching, weekly to Kota Kinabalu, and 10-14 days to Bintulu direct.

Step 9: Loading & Lashing at Port Klang

Stevedores handle · same day as sailing

24 hours before sailing, the vehicle leaves our yard for the port. At Wharf 14-15 (Westport RORO terminal), a stevedore drives it up the vessel's ramp and parks it in the assigned slot on a specific car deck.

Lashing crew secures the vehicle: ratchet straps from each wheel to deck rings, wheel chocks to prevent rolling. A standard sedan takes 4 straps and 2 chocks. The lashing pattern is the same for every car on the vessel.

Step 10: Sea Transit

Carrier handles · 4-7 days depending on destination

The vessel sails. Your car is on Deck 4 (or wherever the load plan put it), surrounded by other carefully-secured cars. The ramp closes, the holds are sealed, and the journey across the South China Sea begins.

  • ⏱️ Klang → Kuching: 4-5 days
  • ⏱️ Klang → Kota Kinabalu: 6-7 days
  • ⏱️ Klang → Bintulu: 5-6 days (direct) or 7-9 days (via Kuching)

You can check live status via our tracking system — vessel position is updated daily.

Step 11: Discharge at Destination Port

Stevedores handle · same day as arrival

When the vessel docks at Kuching Port, Kota Kinabalu Port, or Bintulu Port, the discharge process reverses Step 9. Stevedores unlash the vehicle, drive it down the vessel's ramp, and park it in the destination yard pending customs clearance.

You receive an automated notification: "Your vehicle has arrived in [Port]."

Step 12: Customs Clearance

Customs & our broker · 2-4 hours

Even though this is a domestic Malaysian shipment, customs clearance is required because Sarawak and Sabah have separate customs zones. Our destination-side broker handles this — you don't need to be present.

Documents reviewed: Bill of Lading, vehicle ownership, road tax/insurance, insurance certificate. Once cleared, the vehicle is released and ready for collection or final delivery.

Step 13: Final Delivery to Your Address

Our partner handles (D2D) · 0-1 day

For D2D customers: our Sarawak/Sabah partner drives or trailer-delivers the vehicle from the port to your destination address. They call ~30 min before arrival.

At your address: walk-around inspection again, comparing condition with the Step 6 photos. You sign for delivery. The car is yours.

For P2P customers: you collect from the port yard directly at this stage, having received the release notification in Step 11-12.

FAQ

1. Can I visit the Klang yard to see my car before it ships?

Yes. Pre-arrange the visit (the yard is a working operations area, not open access). We'll book you a 30-min slot and walk you through your specific vehicle. About 5% of customers visit; most rely on the inspection photos and tracking.

2. What happens if the vessel is delayed by weather?

Monsoon delays (Nov-Feb) can add 1-3 days to transit. Your vehicle waits safely at our Klang yard (no charge) until sailing. We notify you of delays as soon as the carrier confirms.

3. Who do I contact if I want a status update?

WhatsApp Saiful (017-349 0959) for vehicle shipments. Our team replies same-day during business hours. The tracking page shows automated updates too.

4. Can the process be sped up for urgent shipments?

The sailing schedule is fixed — we can't make a vessel leave earlier. But we can prioritise the yard processing (steps 5-9) to ensure your car is on the very next sailing. Tell us "urgent" at quote time.

5. What if I want to add things to the vehicle (spare parts, equipment)?

For RORO: not allowed (any items must travel separately). For container shipping (which costs more): personal items can be declared and shipped inside the vehicle. Tell us at booking and we'll quote container option.

6. Can I cancel the booking after Step 2?

Yes, but the deposit may be partially forfeit depending on stage. Before vessel booking (Step 8): we refund 80% of deposit. After Step 8: 50%. After loading (Step 9): non-refundable. We're flexible — tell us your situation early.
